Health and Safety Hub

Welcome to the Health and Safety Hub for the 77th Annual AAPOR Conference, to be held in-person at the Sheraton Grand Chicago from May 11-13, 2022.


AAPOR continues to monitor guidelines for health and safety measures from the Centers for Disease Control and Prevention, Illinois, and Cook County. AAPOR will adapt conference plans accordingly and sharing updates as available. We are also working closely with the conference hotel Sheraton Grand Chicago, and if they adjust their requirements, we will communicate that as well. 

While the public health situation will continue to evolve over the coming months, the information below outlines some of the precautions that we will implement. AAPOR is committed to providing a safe, productive, and welcoming environment at the 77th Annual Conference.

All participants, including attendees, speakers, staff, exhibitors, and volunteers are required to comply with the COVID-19 health and safety protocols for the event as detailed below.


We reserve the right to update this information as guidance and risks change over the coming months.



Highlights:  

 
  • In-Person Conference Format: The conference will be held in-person in Chicago. There will be no synchronous option to attend the conference virtually.
  • Vaccination/Booster Requirement: All participants will need to be fully vaccinated plus boosted (if applicable) by April 27, 2022 and will be required to show proof of COVID-19 vaccination in order to attend the conference. This means that you have received the required number of doses required for your initial vaccine plus at least one booster if it has been more than five months since the initial vaccination.   • Testing Requirement: Because asymptomatic and pre-symptomatic transmission can occur even among vaccinated individuals, AAPOR will require all participants to have a negative COVID rapid antigen test within 24 hours of arrival at the conference. Click here for more information.

  • Mask Requirement: All participants will be required to wear a high-filtration mask at all times during the event except while actively eating/drinking, or in an outdoor venue where individuals can be physically distant. Click here for more information.

  • Physical Distancing: While many of the meeting rooms and sessions may not be conducive for physical distancing, additional space will be added where possible to allow for some increased spacing between and among attendees. AAPOR will use a lanyard color-coding system for participants to indicate their preferences for social distancing. Click for more information. 

  • No Guests. To reduce risk of exposures, no guest registrations will be allowed for the 2022 AAPOR Conference and only those who are registered and wearing their badges will be allowed in the conference spaces, including the exhibit hall.

  • Exhibit Hall Safety: Coffee and refreshments will be served in the exhibit hall during certain points of the conference.  All attendees are invited to enjoy these refreshments but should be sure to wear their mask between bites and sips, per the AAPOR mask requirement.  Click here for more information. Vaccination/Booster Requirement:

 All attendees, speakers, staff, exhibitors, and volunteers will need to show proof of COVID-19 vaccination in order to attend the conference. All participants will need to be fully vaccinated by April 27, 2022 with vaccines approved or approved for emergency use by the FDA or World Health Organization (WHO). A list of approved vaccines can be found here. Boosters are required for those who were fully vaccinated earlier than November 2021. That is, you must have a booster dose if 5 or more months have elapsed since your initial vaccinations.  If you have any questions about this requirement, please contact [email protected].

Multiple boosters are now being recommended in some countries and for some individuals.  It is possible that some attendees may have received more than one booster prior to the May Conference, but at this time, multiple boosters are not required.

AAPOR will use the digital vaccine card available via the CLEAR app to confirm proof of vaccination for U.S. based attendees. AAPOR is NOT using  the 'Your Pass' - please scroll down to the 'Digital vaccine card' option. CLEAR’s free mobile app and digital vaccine card feature provides a simple and secure way for this information to be shared when you check in at the conference.



How does the Digital Vaccine work?
  1. Download the free CLEAR app on your smartphone, tap the blue Digital vaccine card tile.
  2. Scan your government-issued ID and snap a photo to confirm you are you.
  3. Complete your checklist for dates/types of vaccinations and scan your vaccine card. 
  4. A green check mark on your vaccine status means you’ve had the required doses for vaccination. The list of vaccines and the dates received are listed within the app. We will confirm full vaccination and receipt of boosters when attendees check in at the conference.
For non-U.S. based attendees, we will use a similar, third party platform to submit proof of vaccination where possible. Vaccine documentation for EU countries will utilize the EU Digital COVID Certificate which provides vaccination information including receipt of booster(s). In the case of the UK, the NHS COVID Pass will be used. 

Digital vaccine certificates from other countries can be used if they show dates and types of vaccines along with dates of boosters. 

Attendees without a smartphone or from locations without options for digital vaccine certificates must bring their vaccination cards or other proof of vaccination. We will share more information on this in the coming weeks.


 

Testing Requirement

Because asymptomatic and pre-symptomatic transmission can occur even among vaccinated individuals (albeit at lower levels), we will require all participants to have a negative COVID rapid antigen test within 24 hours of arrival at the conference.  The utility of such requirements suggests it may reduce risks substantially when variants of high transmissibility and/or increased likelihood of immune escape are circulating.  There are a variety of home antigen tests on the market.  Those that have emergency use authorization (EUA) by the FDA include Abbott BinaxNow, Acon FlowFlex, and iHealth.  A full listing of home tests with FDA EUAs is here. National retailers such as Walmart, Walgreens, CVS and others carry the tests both online and in local retail outlets.

In the event you test positive for COVID prior to or during the conference, you will not be allowed to return to the conference, and you will not receive a refund.  AAPOR is not responsible for any expenses incurred due to a positive test result or medical care needed while attending the conference.
 

Mask Requirement

All participants at the AAPOR Conference will be required to wear a high-filtration mask at all times during the event except while actively eating/drinking, or in an outdoor venue where individuals can be physically distant. Masks should be high filtration (e.g., KN95/KF94 or better), well-fitting, and cover both the mouth and nose. Sources for high-filtration masks include Project N95.  High quality N95 masks such as the 3M Aura are also frequently available through national retailers such Home Depot and Staples.
 
 

Physical Distancing

While many rooms and sessions may not be conducive to physical distancing, additional space will be added where possible to allow for some increased spacing between and among attendees. Additionally, to help participants communicate their level of comfort in interacting with one another, AAPOR will provide color-coded badge stickers to all participants:
 
  • Red = No Physical Contact Please
  • Yellow = Elbows & Fist Bumps Only
  • Green = Handshakes and Hugs OK
 

Exhibit Hall Safety

Attendees are invited to visit the exhibit hall to network with colleagues as well as our many conference exhibitors.  Coffee and refreshments will be served in the exhibit hall each day at dedicated times.  As a reminder, all attendees are required to wear a high-filtration mask at all times except when actively eating or drinking.  When enjoying the exhibit hall refreshments, for the safety of all attendees, we ask that attendees please re-mask between bites and sips.  We also ask that while in the hall, attendees respect the physical distancing comfort levels of others as indicated by stickers on attendee badges. 
 
For those attendees that would be more comfortable enjoying their refreshments in a less populated area, we invite you to do so in the foyer or the outdoor Riverwalk space, just steps from the exhibit hall.   

 

Ventilation

The Sheraton Grand Chicago has provided the following information about ventilation in the building and rooms:
 

  • The fans that supply fresh air to our guest rooms through our corridors and the fans that serve our kitchens are 100% outside air – nothing recirculates and the air is constantly refreshed. Air from these areas is constantly exhausted to the outside and replaced.
  • All of our public area supply fans have minimum outside air dampers that are always open and introduce fresh air by code. We also keep our main outside air dampers in these fans open all the way unless there are extreme temperatures outside.
  • Our guestrooms pull fresh air into the room constantly and the guest room fans circulate only the air from inside the room.
  • All of our filters have also recently been upgraded from a MERV 8 rating to a MERV 11.

 

Continued Planning

AAPOR is continuing to develop onsite protocols for seating, signage, meals, and other events during the Conference. More information will be posted on this website throughout the spring in preparation for your arrival in Chicago. The Annual AAPOR Conference conforms to the OPM definition of a “developmental assignment.” It is intended for educational purposes; over three quarters of time schedule is for planned, organized exchange of information between presenters and audience, thereby qualifying under section 4101 of title 5, United States Code as a training activity. The AAPOR Conference is a collaboration in the scientific community, whose objectives are to provide a training opportunity to attendees; teach the latest methodology and approaches to survey research best practices; make each attendee a better survey researcher; and, maintain and improve professional survey competency.
